1.1 Information We Collect

• Contact Information: Full name, 10-digit mobile number, and email address provided during booking or OTP login.
• Appointment Details: Selected grooming service, preferred barber, appointment date, scheduled time slot, and booking type (In-Shop or Doorstep Home Visit).
• Location / Home Address: Collected strictly and exclusively when you request a Doorstep Home Visit service to allow our certified barber to reach your premises.
• Authentication Identifiers: One-Time Passcodes (OTP) sent to your mobile or email for account access. OTPs expire in 10 minutes and are permanently deleted after verification.

1.2 How We Use Your Information

• To reserve and schedule your salon chair and assign your chosen barber without double-booking.
• To send immediate booking confirmations, reminders, and invoice receipts via SMS, WhatsApp, and Email.
• To dispatch trained barbers with sterile grooming tools to your doorstep for Home Visit appointments.
• To enable you to view your upcoming and past appointment history, receipts, and cancellation options via the My Bookings portal.
• To prevent fraud, multiple spam bookings, and ensure platform safety.

2. Cookies Policy

Cookies are small text files stored locally on your device to ensure smooth web functionality. Urban Hairplaza follows a minimal, privacy-first cookie policy: we only use strictly necessary functional cookies required for the operation of the booking platform.

2.1 What We Do NOT Track

• We do NOT use cross-site behavioral tracking cookies (e.g., Facebook Pixel, invasive third-party ad networks).
• We do NOT track your browsing activity across other websites.

2.2 How to Control Cookies

You have the freedom to disable or clear cookies at any time via your browser settings (Chrome, Safari, Firefox, Edge). Please note that disabling essential cookies will require you to enter an OTP every time you wish to access your booking history.

3. Personal Information Safety & Infrastructure

We employ multi-layered technological and organizational safeguards to prevent unauthorized access, data loss, or disclosure of your information:

3.1 Encryption in Transit

All communication between your browser and our servers is encrypted using industry-standard Transport Layer Security (TLS 1.3 / HTTPS) with 256-bit encryption. Any information you enter—from phone numbers to booking notes—is transmitted across secure channels.

3.2 Database & Credential Isolation

Customer records and bookings are stored in encrypted cloud database systems (Neon PostgreSQL) with strict access control policies. Only authorized, authenticated application processes can read or update client booking data.

3.3 Staff & Barber Access Limits

Our barbers and shop staff only receive operational schedule details (e.g., client name, appointment time, and service requested) required to deliver grooming services. No staff member has access to your payment credentials or authentication keys.

4. Advance Payment & Financial Security

To eliminate no-shows and secure barber schedules, Urban Hairplaza requires a small advance payment (₹50) upon appointment booking.

4.1 Cashfree Payment Gateway

All digital advance payments (UPI, Google Pay, PhonePe, Paytm, Debit/Credit Cards, Net Banking) are processed directly by Cashfree Payments India Private Limited, an RBI-authorized Payment Aggregator compliant with PCI-DSS Level 1 standards.

5. Client Rights & Data Erasure (DPDPA 2023)

In accordance with the Digital Personal Data Protection Act and international privacy frameworks, you retain complete authority over your information:

• Right to Access: You can log in anytime to the My Bookings page to inspect your registered name, phone, email, and full appointment history.
• Right to Rectification: If your name, mobile number, or email requires an update, you can rectify it directly or contact our desk.
• Right to Erasure / Account Deletion: You have the right to request the complete, permanent deletion of your customer profile and booking records from our database.
